Receive Payments from Your Customers via Online Bill-Pay

Yes, you read that right.

You may now have customers pay online!

And it's super easy.

Presently, "pay me now" invitations may be created in either of two ServiceDesk contexts.

Context 1 (for when you wish to receive money on an open job):

Context 2 (for when you wish to receive payment on an A/R):

In either case, you'll be presented with a dialog via which you'll inform the system of:

  1. the email address or SMS telephone number the invitation will go to (this means, of course, you may use either such communication method);

  2. the amount you're requesting (unless it's an A/R you've clicked from, in which the case system assumes the A/R's balance due as the requested amount); and

  3. a description of what the request is in payment for.

Thus, the dialog sequence will look something like this:

Then you see a request for money amount (unless you're requesting from a A/R):

In this context the amount is one you manually type in

Then a description request:

The system will default-fill with the text shown; if you want a different description (such as, for example "For repair of your dryer") simply type to replace what's there

If you've chosen email as the sending method, ServiceDesk's email composer will open for you to send, and you can do any edits there if wanted, before clicking to send:

If you've chosen to send via SMS texting, the message will simply and immediately go, as you complete the dialog.

On reception by the customer, an emailed invitation will look similar to this:

In either case, when your customer clicks on the link to pay, he or she will see a web interface similar to this:

When your customer fills in the boxes and clicks to submit, the transaction will immediately be ran on your TSYS/Cayan merchant account (yes, for now that is the kind of account you must have to use this feature). Assuming success in the transaction, your customer is informed, then SD-CyberLink automatically processes the information back into ServiceDesk for you (yes, this also means you must be subscribed to SD-CyberOffice for this feature, and in fact you'll need to be running SD-CyberLink Ver. 4.5.90 or later).

In regard to such processing, SD-CyberLink creates an appropriate entry in your ServiceDesk FundsJournal (to thereby accommodate your further accounting and control in regard to that money item), and will create a SD-Mail informing the designated SD-CyberLink-monitoring person of the fact such payment was received:

If it was a JobRecord-linked invitation for payment, an appropriate note will be added into the JobRecord:

If it was instead a A/R-linked invitation for payment, the amount will be applied directly to the applicable A/R, and a note will also be added into its Notes section:

Besides all the above-described work, SD-CyberLink will send a receipt (and of course a "thank you") back to your customer. If the invitation was via email, it will look similar to this:

We think we've covered all the bases, so far as this initial roll-out of functionality is concerned, and so far as it involves ServiceDesk itself. And, yes (and if you're wondering), we are indeed highly aware that the next step is to enable similar functionality in SD-Mobile -- so that your techs may similarly create such invitations, and likewise trigger customer payments.
