When discussing "names" for user accounts, we must clarify which one we mean. The 'user login name' is what you type into the Remote Desktop Utility to access the RSS Server. It's different from a user account's 'Full Name' (which shows up after successful login), or the 'Description'.

In the Computer Management program, this 'Login Name' is listed under the 'Name' column.

Changing User Login Names

It's recommended not to change a user account's Login Name. If you need a different Login Name, the best way is to delete the account and create a new one. Our Help Center has guides for that.

The reason for not changing Login Names is that each account has unique settings and a User Folder with the same name. If you change the Login Name, these won't update immediately. So until the user logs out and back in again, they might have problems with their RSS Server account.

When troubleshooting an issue in a user's RSS account, we often need to check their User Folder. If the User Folder and the Login Name aren't the same, it can cause confusion and slow the troubleshooting process.

How to Transfer Settings/Data from an Old User Account to a New User Account

It can be a bit tricky to replace a user account while keeping the ServiceDesk settings and data. If you're new to this, it's recommended that you ask a Rossware RSS Server Administrator for help.

But if you feel confident, here's a simpler guide.

Be advised: once an account is deleted, you can't get back some settings or data. Only try this if you're comfortable with the steps.

  • First, we need to save the SD settings.

  • Search for "regedit" in the Windows Start Menu to open the Registry Editor.

  • Find HKEY_CURRENT_USER → Software.

  • Near the bottom, there's a folder called VB and VBA Program Settings.

  • Right-click on this folder and Export it to the Desktop.

  • We're saving it to the Desktop so it's easy to find later.

Now, consider exporting your bookmarks and passwords from your web browser. As each browser has a different process, we won't explain every step here. But, you can easily find a guide by Googling "how to export bookmarks/passwords from [name of web browser]."

After exporting the SD settings from the registry, make sure you can find the User Folder for this account. Usually, the User Folder and Login Name are the same. Here's how to check:

  • Open File Explorer.

  • Go to Local Disk (C:).

  • Select Users.

  • Select the user's Login Name folder.

  • Select Desktop.

  • Compare what's on the Desktop and in the Desktop folder.

  • You should see the registry export file in both places.

  • Remember the user's Login Name folder for later use.

Once you've found the correct User Folder, make a new User Account. After it's made, copy the data from the old account to the new one. It's easier to open both User Folders simultaneously and copy-paste files from old to new. Usually, a user chooses to move Desktop, Documents, Downloads, Favorites, Music, Pictures, and Videos. You can select multiple folders by holding the Ctrl key. Then, paste them into the new folder. If asked to replace or skip files, choose "Replace the files in the destination."

In some cases (especially if the account is a Standard User) you may need to copy and paste these folders using an Administrator account.

After you've copied the files, you can remove the old account. To set up the new account, import the SD Settings. You'll find the registry settings you exported earlier on the Desktop. Double-click on them and confirm each prompt. Now, ServiceDesk should not need further setup. Unless you're running low on disk space on your RSS Server, keeping the old User Folder is okay. You might need to get other files from it later.
